As a Property Manager, you can provide instructions that you want the Latchel team to follow before dispatching of a vendor occurs. For example, this could be instructions to contact an on-site maintenance tech or building superintendent first. If they accept the job then we pass it off to them and close the job in our system. Any pre-dispatch contact that accepts a job will make us close the job out in our system. If you want work to continue to be tracked then you should make the contact point a preferred vendor that gets dispatched. 

Successful Use Of Pre-Dispatch Instructions:

  1. Providing a list of contacts to reach out to before dispatching a vendor.
  2. Providing special instructions to prevent dispatching for certain types of issues.
  3. Providing warranty information that may be required by dedicated vendors
  4. Providing helpful contextual advice for the team due to unique property conditions.

Prohibited Uses of Pre-Dispatch Instructions:

  1. Instructing specific vendors to be dispatched. These should instead be configured in the priority list for dispatching.

How to add Pre-Dispatch Instructions at the Company Level

Please note: The Pre-Dispatch Instructions set at the Company Level will automatically apply to all portfolios and properties on the account. Step 1. Log into your Latchel Portal

Step 2. Click on the drop-down at the top right-hand side of your screen. Select Account Settings from the drop-down.

Step 3. Under the Details tab, scroll down to the Maint. Communication Settings section. From here, you can update or add Pre-Dispatch Instructions at the Company Level

How to add Pre-Dispatch Instructions at the Portfolio Level

Please note: The Pre-Dispatch Instructions set at the Portfolio Level will automatically be applied to all properties within that portfolio. Step 1. Click the Portfolio tab

Step 2. Click on the name of the Portfolio

Step 3. On the Details page, scroll down to the Maintenance Communication Settings. From here, you will see the Company Level Pre-Dispatch Instructions were automatically applied to the portfolio. To override the Company Level, click override and then type the Pre-Dispatch Instructions for the portfolio and Save. 

How to add Pre-Dispatch Instructions at the Property Level

Step 1. Click the Properties tab

Step 2. Search for the property and click on the address

Step 3.  On the Details page, scroll down to the Maintenance Communication Settings. From here, you will see the property inherited the Portfolio Level Pre-Dispatch Instructions. To override this, click override and then select then type the property’s Pre-Dispatch Instructions and then click Save.
